Job Summary

In this role you will focus on coordinating and supporting the Operations and Technology team located in the Charlotte office. You will be responsible for ensuring the employees at the site are able to work as efficiently as possible. You will be responsible for managing supplies, space/site management, new hire experience, mail management, and site communications. Additionally, you will provide administrative support for the Ops & Tech Cross Functional Services (OCFS) team which may include (but not be limited to) providing general administrative and human resources support, administrative reporting, project tracking, developing high-level presentations on various subjects, gathering data, and anticipating changing business needs. Provides support for employees preparing reports and materials for prospects, customers or internal/executive audiences.

Major Responsibilities

  • Office support in the Charlotte office which includes but is not limited to:

  • Onboarding new hires

  • Resolving maintenance issues

  • Managing physical mail/shipping/receiving

  • Employee communications (Monthly Newsletter and Monthly Stand-up meeting)

  • Ordering supplies

  • Coordinating meetings and events

  • Coordinating with technology teams for site technology issues

  • Working with corporate security to ensure site safety

  • Collecting data

  • Supports the Ops & Tech Cross Functional Services team to support all deliverables being requested by various cross functional teams, such as (but not limited to):

  • Collects business unit’s physical space needs and assists with planning

  • Assists with general administrative duties including general correspondence, travel planning, and arrangement of meetings/events/facilities


  • Undergraduate degree plus

  • 3-5 years' related experience providing administrative support for a team, organizing travel/events, and managing an office.

  • Previous experience in banking preferred

  • Familiarity with business and financial markets, and with inherent risk in business

  • Good planning skills

  • Excellent organization, communication, and people skills

  • Strong Microsoft Excel, Word and PowerPoint skills

  • Experience with providing administrative support in a large corporate environment

  • Strong communication skills, both oral and written, and an ability to interact with all levels of management

  • Analytical thinking skills

  • Highly organized with good attention to detail
