Client Management Services team is situated within the Corporate and Investment Banking Division of MUFG Bank. However, this function acts as a centralized 1st line support team, providing support to both to both MUFG Bank London and MUFG Securities.

MAIN PURPOSE OF THE ROLE

The Client Management Services (CMS) team services all front office areas throughout EMEA across Bank and Securities with responsibility and effective oversight of circa 7,000 existing counterparts.

This role is to assist the Client Management Services team by providing business support across the CMS function. The role holder will also be responsible for tracking, monitoring and supporting projects across all strategic initiatives while leading specific project workstreams. The role holder will also be responsible for providing direct support to the Head of CMS with diary scheduling and management, and meeting prioritisation.

This individual will be responsible for planning and organising project meetings and Internal CMS Management Meetings. They will also be responsible for the coordination of action points across various meetings in CMS.

A key aspect to this role is internal stakeholder management, and a drive to manage and coordinate meetings and projects within the department.

KEY RESPONSIBILITIES

In this role you will be responsible for:

  • Business and project support across wider CMS team

  • Ensuring CMS controls are regularly reviewed and updated and any associated issues are regularly updated

  • Keeping a log of procedure updates ensuring reviews are completed on regular cycle

  • Supporting with any audit coordination

  • Monitoring of team compliance trainings ensuring 100% completion rate prior to due date

  • Planning project meetings alongside CMS function leads, ensuring coordination with stakeholders

  • Leading project workstreams in support of overall project leads

  • Project tracking and monitoring

  • Recording meeting minutes, tracking and following up on actions

  • Assisting the CMS team with any ongoing or new projects, organizing meetings & travel, recruitment and onboarding of new joiners

  • Supporting Head of CMS with system access requests and other daily administrative tasks

  • Managing travel arrangements and itineraries for CMS Management team as required

  • Managing Head of CMS’s diary, arranging daily schedule and prioritising calendar conflicts across completing priorities

WORK EXPERIENCE

Essential:

  • Business Management / Project planning, monitoring and management experience

  • Proficiency in MS Office, Excel, PowerPoint

  • Experience of working in a fast-paced environment

  • Experience in an investment banking or financial service industry – knowledge of KYC and client on-boarding process highly beneficial

Education / Qualifications

Essential

  • Degree level and/or relevant industry experience

  • A project management qualification would be beneficial but not essential.
