  • Business Critical Services is a function in EMEA Finance to support the EMEA CFO with his Senior Manager responsibility of supervisory oversight on outsourcing and third party risk management.

  • BCS consolidates TPRM, Procurement and Accounts Payable and Vendor Management.

  • This is an EMEA wide function driving consistency across the region whilst being globally aligned.

MAIN PURPOSE OF THE ROLE

This role is a D position to support the Head of Business Critical Services in developing and rolling out the Vendor Management framework and capability within the firm.

The role will be responsible for establishing a framework to ensure that there is adequate oversight and management of Third-Party Activities through enhanced due diligence and on-going monitoring of vendors. Collaboration with the Vendor stewards and service managers across the business units is key in building out this function across the organisation. Performance monitoring on an on-going basis, escalation of material issues at the right level to an adequate governance and ensuring compliance with regulatory expectations on continuous vendor monitoring remain the key focus areas.

KEY RESPONSIBILITIES

  • Design, implement and operate the Vendor Management (VM) framework as a comprehensive approach for post contract value from key third party service providers.

  • Partner with Vendor Stewards Service managers to define a collaborative approach for closer relationship, with focus on generating value in terms of enhanced service, performance, quality, innovation and efficiency.

  • Ensure that key third party service providers are aligned to the firms’ strategic business plan.

  • Ensure that a clear roadmap is in place driving effective operational, contractual and commercial management of these relationships in line with the contract.

  • Manage the relationship with major outsourced vendors in line with Vendor Management best practice and MUFG Policy and the regulatory environment.

  • Ensure Vendor Management governance is established, robust and is operationally effective.

  • Identification, escalation and resolution of issues regarding the department and related activities;

  • Anticipate, resolve, report and escalate any service or relationship risks, incidents and disputes for in-scope third parties and ensure appropriate mitigation plan is in place to maintain end to end service integrity.

  • Responsible for arranging third-party audits by liaising with subject matter experts

  • Ongoing monitoring and reporting of value gained from outsourcing to critical vendors.

  • Applying knowledge of the UK outsourcing market to develop the supplier relationship strategy, balancing external trends against business objectives and desired customer outcomes.

  • Maintaining and enhancing good working relationships with stakeholders, including business and control / infrastructure teams, auditors, local management and global teams

  • Leading projects and system enhancements as required, ensuring effective control and continuous process improvement

WORK EXPERIENCE

  • Experience of leading a vendor management function that has demonstrated value through partnership with complex and material vendors

  • Demonstrable experience in delivering end to end best practice Supplier Relationship Management for internal and external vendors.

  • Extensive experience in managing outsourced suppliers and ability to influence key stakeholders

SKILLS AND EXPERIENCE

Functional / Technical Competencies:

Essential:

  • Develop and implement ongoing supplier governance process which includes overall oversight, escalation point and single point of contact for suppliers within Business Unit.

  • Responsible for benchmarking industry landscape and standards, as well as driving Best Practices

  • Establish reporting cadence, data analytics, and produce dashboard reporting and other reporting artifacts to proactively identify emerging risks, issues, or challenges.

  • Ensure adherence and execution of contract agreements including achievement of SLAs and KPIs

  • Provide “On the ground” leadership and support, including coaching on areas of deficiency.

  • Develop consistent measurements of vendor performance as part of good governance & oversight

  • Monitor Supplier performance through engagement with the Service Managers and escalate to governance committees where required.

  • Resolve escalated issues that are preventing suppliers from meeting expectations

  • Liaise with TPRM & Procurement teams as appropriate to maintain compliance standards and initiate triggers to risk assessment & contract management.

Preferred:

  • Strong change management skills that drive continual improvement, recognising problems and opportunities and identifying win-win solutions

  • Good knowledge of banking and/or investment banking services/global markets products and

  • services.

  • Strong analytical, writing and Microsoft Office skills

PERFORMANCE AND DUTIES

The role holder will be assessed in accordance with their employing entity’s performance framework and process with relevant input obtained from the dual hatting entity as relevant.

As duties and responsibilities change, the job description will be reviewed and emended in consultation with the role holder. The role holder will carry out other duties as are within the scope, spirit and purpose of the role as requested by their line manager or Department Head.

MANAGING CONFLICTS OF INTEREST

  • The role holder will have responsibilities for both MUFG Bank and MUFG Securities EMEA plc.

  • The role holder will be required to perform their duties and responsibilities on an entity neutral basis, without favour.

  • The role holder is required to follow regulatory requirements applicable to ensure each business is appropriately supported and to maintain the legal entity integrity of each of MUFG Bank and MUS.

  • Working terms are dictated by functional mandates, the terms of the Dual-Hat Arrangement Agreement in place between MUFG Bank and MUFG Securities EMEA plc and any other relevant agreements entered into between MUFG Bank and MUFG Securities EMEA plc.

  • The role holder will have responsibility for identifying and resolving where there may be a difference or conflict in needs between MUFG Bank and MUFG Securities EMEA plc, escalating to their manager where required.
