The Head of Operations & Technology Risk and Control is seeking a highly motivated and well organized individual to act as Administrative Assistant. The Administrative Assistant will provide administrative services to include planning, organizing and developing the necessary procedures to meet requirements. Administrative duties will include extensive calendar management, coordinating meetings, developing agendas, PowerPoint Presentations and travel arrangements etc. Individual will provide executive administrative support involving frequent exercise of independent judgment, initiative, and diplomacy.
Manage calendar coordinating meetings consisting of internal and external stakeholders. Meetings will range in size, frequency and type such as committees, conferences, one-on-one and team meetings, and luncheons.
Produce materials in the form of memos, correspondence, and letters; may prepare materials necessary for meetings e.g. agendas, PowerPoint Presentations.
Review drafts and finished documents for correct grammar, tone, and format.
Respond verbally or in writing to internal and external inquiries, which may involve communicating with senior management and Board of Directors. Answer complex inquiries which require thorough knowledge of the business unit’s policies and procedures.
Perform administrative duties such as ordering office supplies, preparing monthly expense reports. Process and coordinate accounts payable and expense vouchers.
Coordinate with other administrative assistants to ensure work coverage and smooth operations.
Provide telephone coverage including screening telephone calls determine urgency, priorities etc.
Receive and greet incoming visitors in a professional manner; screen visitors as needed
Coordinate travel arrangements scheduling flights, booking accommodations, scheduling business meetings at travel destination and completing expense reports.
Perform special research/projects as assigned. Collect data and conduct research for the maintenance and compilation of financial/data spreadsheets and reporting.
Assist the executive in project coordination as necessary. Serving as a project coordinator and assisting in administration duties including creating and maintaining appropriate project documentation, such as schedules, meeting minutes, etc. Create and maintain status tracking reports. May assist the Manager in presenting project information.
5 years executive administrative experience at the Senior Management level.
Financial services experience or experience supporting a Senior Management highly preferred.
High school diploma required, college degree preferred.
Excellent organizational and interpersonal skills as well as problem solving, negotiation and follow-up skills; strong calendar management. Proactive and is self-starter
Ability to organize and coordinate multiple projects and has good verbal and written communications skills.
Requires excellent word processing, spreadsheet and database computer skills. Strong proficiency with Microsoft Suite: Word, Excel, PowerPoint and Outlook.
Experience arranging international and domestic travel, preparing expense reports and utilizing tools for currency conversions.
