Overall Purpose of Job:
Provide administrative support to the Origination Group consisting of four senior relationship managers. Duties include extensive calendar and travel arrangements as well as assistance with Marketing Events.
- Provide high level administrative support to the four Coverage Officers that includes, but not limited to (75%):
Detail oriented calendar management including international participants.
Coordinating domestic and international travel, including logistics and schedule details.
Maintain contact lists in both Outlook and Salesforce.
Maintaining and submitting expense reports and other necessary forms.
Manage incoming calls and visitors to the department.
Perform other duties/projects as requested.
Submit compliance approval requests for gifts and entertainment.
Foreign visa arrangements.
Monitor MasterCard/Concur (expenses/compliance approval) accounts.
Download and organize monthly Salesforce pipeline.
- Coordinate all Event Sponsorship details including but not limited to creating, editing, updating and proofing (15%):
Coordination of IMF/IDB/Felaban Annual Meetings.
Event client invite list by country and industry.
AS/COA Private Events.
Any other Staff events.
Create, edit, update and proof presentations and various client marketing materials (5%).
Provide other departmental administrative requests when needed (5%).
A minimum of 2 years of professional experience.
Proven admin or assistant experience; experience working for a large financial firm a plus.
Knowledge of office management systems and procedures.
Proficient in MS office.
Ability to multi-task and prioritize work, strong communication skills.
Attention to detail and well organized.
Professional and polished demeanor.
Good team player.
