The Central PMO Assistant Vice President (AVP) will report to and work closely with the Americas Head of Central PMO for to help implement and maintain Change Management policies and procedures; provide portfolio governance, financial management, and constantly look for opportunities to eliminate duplicate processes. In this role the AVP will be responsible for:

  • Production of project and portfolio status reports from data in the PPM tool including financial & resource data, and key risks and issues. Chair bi-weekly update meetings with Project Managers including the Head of Change Management.

  • Holding project managers & line managers to account for accurate data being published, ensuring data isn’t just accepted but challenged and validated prior to reporting to senior stakeholders.

  • Ensuring Project Managers are following policies & procedures that are set forth by the Central PMO team and all project deliverables are completed as expected. Work with Head of Central PMO to find efficiencies and communicate any process changes to broader team.

  • Managing all resource scheduling across the portfolio ($, headcount, spend) to ensure full utilization of portfolio resources and manage monthly meetings with Technology to review resource allocations. Approve all project resources prior to on-boarding by ensuring there is budget for each hire.

  • Using the PPM tool, to update and manage portfolio financials and provide consistent and accurate financial reports to various stakeholders.

  • Overseeing the reconciliation of invoices received against forecasts and confirm actuals to date with project managers / PMO’s. Be point of escalation to ensure this process is completed on time. Work with Procurement, Projects Managers and Accounts Payable to resolve ad hoc Accounts Payable inquiries in order to resolve payment issues.

  • Engaging with Finance teams to ensure accurate recharge processes are managed. Identify improvements that can be implemented to reduce onerous manual processes currently in place.

  • Assisting with inquiries from Audit and assist with controls testing evidence requested by Second Line of Defense and other departments.

  • Maintenance and continuous improvement of Portfolio, Programme and Project Management (PPM) toolset. This will include delivering communications about changes to the toolset to the CHG community; and delivering training e.g. as part of on-boarding new users.

  • Managing PPM toolset: license and permissions management (in response to changes in resources); assist in project creation; minor enhancements development including creating a register of impacted user, managing communications to them and delivering training to them.

  • Assisting in general CPMO data management e.g. Sharepoint maintenance and network folder maintenance.

Required Skills/Qualifications

  • Experience working in project management office and knowledge of project management strategies and processes.

  • Strong Microsoft Office Excel skills: Experienced in data manipulation and data management (vlookup, index/match, pivot tables, VBAs) with ability to analyze large data sets.

  • Experience creating PowerPoint presentations and reports to present to senior management.

  • Experience working and administering PPM tools. Experience in Planview preferred.

  • Experience working with Finance (Accounting, Procurement, Accounts Payable) team to oversee project expenditures. Experience with Oracle application preferred but not required.

  • Ability to thrive within a team in a fast-paced environment and manage multiple priorities

  • Ability to manage large workloads and tight deadlines; and to self-schedule/complete regular, calendared tasks.

  • Solid communication and interpersonal skills with a detail-oriented and proactive mindset.

  • At least 3-5 years of experience of working in management consulting or financial services.
