Job Summary

In this role you will assist with leading the organizations Software Asset Management by managing, monitoring and controlling software assets through their lifecycle. Responsibilities include focus on planning - both operational & financial, obtaining, discovering, managing, and tracking of software technology assets. Responsibilities include designing, implementing, and governing processes, including ensuring standardized approaches are used to define management systems, roles, and controls; overseeing software-license entitlement and physical inventory management; provisioning assets for employee onboarding and off-boarding; creating & managing reporting dashboards and reports from daily operational to executive summary reporting; coordinating asset handling during mergers, acquisitions, divestitures, and real estate moves; providing utilization data for contract renewals; and supporting financial reporting for total-cost-of-ownership and transparency activities. Additional responsibilities may include assistance with the hardware IT Asset Management function lifecycle.

Responsibilities:

  • Manage inventory and lifecycle of hardware and software assets (including dependencies), to ensure that modifications, withdrawals, and additions are correctly recorded by teams to ensure compliance with vendor contracts.

  • Assist in implementing the strategic direction for the Software Asset Management team.

  • Maintain software data for budgeting, compliance, contract summaries, and cost summaries.

  • Assist in report development to address management requirements.

  • Apply a continuous improvement approach in enhancing the strategies employed in technology spending, as well as in tracking company assets within the CMDB throughout their lifecycle

  • Provide scheduled key performance indicator (KPI)/metric information and standardized reporting, including compliance on current assets and trend analyses

  • Perform verification and audit of Definitive Media Library (DML) and CMDB content; verify software assets with license contracts, confirm hardware assets with actual inventory, and initiate corrective actions and track them

  • Manage activities concerning license compliance audits to be able to answer to requests from software editors effectively

  • Maintain software Risk Control processes, ensuring all process meet required Control objectives while continuously looking for process improvements that mitigate the risks and meet our controls more efficiently and effectively.

  • Design processes relating to software and hardware asset management: execute and enhance them

  • Establish and maintain documentation of procedures, processes, and reports concerning asset and configuration managementTake part in other ITSM processes, or as required, perform as a back up to maintain operational activitiesDesign, update and maintain IT Asset Management processes and procedures, including improvement activities.Collaborate with infrastructure teams to determine trends in asset performance and maintain best practices

Qualifications:

  • 6-8 years' experience working in IT service management, 6-8 years' experience in software asset management, 2-4 years' experience in hardware asset management. Experience in ServiceNow SAM/SAM Pro process and workflow development, design, and creation highly preferred.

  • Experience in a large organization with a remote workforce, preferred4+ years' experience working in highly regulated industries (i.e., banking or financial services), preferred

  • Expert knowledge of IT software lifecycle processes, procurement, reporting, discovery & tracking. IT Hardware Asset Management knowledge also required.

  • Expert knowledge of IT Asset Management Systems, including ServiceNow & Flexera.

  • Strong knowledge of ServiceNow Discovery, configuration management database (CMDB) Updating practices and Dashboard/Reporting creation & management.

  • Expert knowledge of common IT asset management cost savings and risk mitigation strategies

  • Proficient knowledge of License true-ups processes and procedures.

  • Strong knowledge of: ServiceNow SAM/SAM Pro workflow creation, development and design

  • Strategic planning skills and have a thorough understanding of internal & external compliance policies.

  • Software normalization processes

  • Software entitlements, including license types and license metricsSoftware discovery

  • Familiarity with software contracts

  • One or more of the following certifications a plus: IT Infrastructure Library (ITIL), Control Objectives for Information and Related Technology (COBIT), or IT Asset Management

Education

Bachelor's degree in Computer Science or a closely-related discipline, or an equivalent combination of formal education and experience

The typical base pay range for this role is between $137K - $170K depending on job-related knowledge, skills, experience, and location. This role may also be eligible for certain discretionary performance-based bonus and/or incentive compensation.
