The Compliance Office for EMEA Planning & Oversight team covers all regional initiatives and supervises EMEA Offices on Compliance Framework and support the Compliance Officer as well as Compliance Department. Also Planning & Oversight acts as coordinator of initiatives, communication and requests within the region which includes Core Compliance and Financial Crime area.

MAIN PURPOSE OF THE ROLE
This position will support several EMEA offices’ data privacy activities to lead efficiency and consistency across the regional as well as to support implementation of the Global Privacy Program in the EMEA region, and provide regional support on data privacy and protection and cross-border data movement (CBDM) matters. The position will also help support the several regional Data Protection Officers (DPOs) to discharge their responsibilities.
Main Responsibilities :
Support on the development and implementation of the EMEA Data Privacy and Protection Compliance Program, including developing and implementing a consistent compliance approach to data privacy and protection and CBDM across the EMEA region. Support strategic initiatives relating to data privacy and CBDM in the region
Assist with management of the program and its core elements, including PIA/DPIA review; review and update of privacy notices; records of processing activities; and advisory support for privacy incidents
Provide regional input in developing and enhancing privacy compliance-related policies, procedures, processes and internal controls in support of the Global Privacy Program, and the compliance programs overseen by EMEA compliance teams
Conduct horizon scanning of local regulatory changes as relevant to the covered jurisdictions and in coordination with the local DPOs and providing support on advising DPOs on policy and framework updates, in consultation with the EMEA Head of Privacy.
Provide reports and advice to the several EMEA office DPOs as well as to EMEA Head of Data Privacy and support on reporting to senior leadership in EMEA Compliance and the Global Data Privacy Officer, as well as to committees and senior management on regional privacy related issues, trends, exceptions, and program enhancements within the EMEA region.
Support on communicating to regional Business/Support Unit Management of relevant privacy and CBDM compliance-related information in a timely manner.
Support on identifying and coordinating remedial measures in response to issues raised in compliance examinations, audits and quality control testing.
Working with the EMEA Head of Data Privacy, support the DPOs to discharge their responsibilities including by:
Advising MUFG and members of staff, including Business Process Owners (BPOs) of their data privacy and protection obligations, raising awareness within MUFG of data privacy and protection requirements and delivering training when necessary.
Determining the need for, advising, reviewing and supporting on data protection impact assessments (DPIAs) completion process.
Responding to requests from individuals to exercise their data subject rights to ensure they are fulfilled within required time frames, partnering with Legal on requests related to contentious matters.
Supporting on breach reporting procedures (alongside other incident management processes) and ensuring that data protection breaches are promptly investigated and reported where required within applicable time frames.
Maintaining MUFG’s records of processing activities across all relevant offices including breach registers and all other records related to data protection as may be required both from a governance standpoint and local legal and regulatory requirement.
Developing annual training program and assessment needs.
Maintaining the register of local BPOs.
Supporting CAF and relevant DPOs on the necessary regulatory filings.
Attending any regulatory outreaches and providing summary reports to the relevant office, including follow up on any actions in coordination with the local compliance team.
Tasks across MUFG’s Banking arm and Securities business under a dual-hat arrangement. Under this arrangement, the role will act and make decisions on behalf of both the Bank and Securities business, subject to the same remit and level of authority, and irrespective of the entity which employs the successful candidate. For country specific decisions, the decisions need to be taken only post consultation with the country’s DPO.
Relevant compliance or legal experience and an emphasis on data privacy and protection
Experience in the banking/financial services industry.
Experience advising on data privacy issues within a complex, global organization.
SKILLS AND EXPERIENCE
Functional / Technical Competencies:
Good working knowledge of data privacy and protection laws and regulations
Ability to embed privacy compliance in the business in a practical and effective manner
Education / Qualifications:
- University degree or equivalent
- CIPP/E and /or other relevant certifications preferred

PERFORMANCE AND DUTIES
The role holder will be assessed in accordance with their employing entity’s performance framework and process with relevant input obtained from the dual hatting entity as relevant.
As duties and responsibilities change, the job description will be reviewed and emended in consultation with the role holder. The role holder will carry out other duties as are within the scope, spirit and purpose of the role as requested by their line manager or Department Head.
MANAGING CONFLICTS OF INTEREST
The role holder will have responsibilities for both MUFG Bank and MUFG Securities EMEA plc.
The role holder will be required to perform their duties and responsibilities on an entity neutral basis, without favour.
The role holder is required to follow regulatory requirements applicable to ensure each business is appropriately supported and to maintain the legal entity integrity of each of MUFG Bank and MUS.
Working terms are dictated by functional mandates, the terms of the Dual-Hat Arrangement Agreement in place between MUFG Bank and MUFG Securities EMEA plc and any other relevant agreements entered into between MUFG Bank and MUFG Securities EMEA plc.
The role holder will have responsibility for identifying and resolving where there may be a difference or conflict in needs between MUFG Bank and MUFG Securities EMEA plc, escalating to their manager where required.
